Centralized Data Storage and Simultaneous Access by Multiple Users

In both the Standard and Enterprise versions, Xfmea makes it possible to store analysis information in a centralized database and also supports simultaneous access by multiple users. This capability will help your organization to ensure consistency in the FMEA analysis process, find and re-use information from existing analyses and facilitate cooperation among team members.

  • In Xfmea Enterprise, the analysis information is stored in a centralized SQL Server® database, which can handle a large amount of data and a large number of simultaneous users.
  • In Xfmea Standard, the analysis information is stored in individual Microsoft Access® databases. You can apply password protection to these databases and store them in a centralized location on your network so that multiple users can access the same database file. However, each database can handle a limited amount of data and a limited number of simultaneous users.

Configure System-Wide Preferences

Both versions of Xfmea provide many options to configure the software to meet the specific analysis requirements of your organization. With the Enterprise edition, authorized administrative users can easily define those configurable options for the whole organization to ensure consistency and easy distribution of updates to the reporting style, rating scales, etc. This includes:

  • Profiles/Libraries (to determine the field names, rating scales, etc.)
  • Notification Groups (groups of users who receive notifications to monitor progress on specific actions)
  • Automated E-mail Notification Settings (the conditions under which automated e-mails will be sent by the system)
  • Project Categories (to categorize and filter multiple projects within the enterprise database)

Automatic Login and Flexible Access Levels for User Accounts

In Xfmea Standard, you can choose to create databases with or without login security. When a database is Login Secure, each user will be prompted to enter a username and password in order to view or edit the analysis information.

In Xfmea Enterprise, the login occurs automatically (based on your Windows Security Login Information) and you are never required to remember and enter a separate username and password. Each Xfmea Enterprise user account is associated with specific permissions that determine what functions the user can perform. The four types of user account access levels are:

  • View: View-level users can edit actions that have been assigned to them, add/edit/delete personal messages within the portal, edit the contact information for their own user accounts and view the analysis information from any project in the database (Read-Only access).
  • User: User-level users can add/edit delete personal messages within the portal, edit the contact information for their own user accounts, create/delete projects and add/edit/delete information within any of the existing projects.
  • Power: Power-level users have all of the permissions of a User-level account...
    • PLUS they can update system-wide configuration settings (profiles, libraries, e-mail settings, etc.), override manual record locks, access revision tracking and transaction log utilities and add/edit/delete system-wide (global) messages to be displayed in every user's portal.
  • Admin: Admin-level users have all of the permissions of a Power-level account...
    • PLUS they can add/edit/delete user accounts for the system.

In addition, you can configure the Xfmea Enterprise system to assign different levels of access at the project level. For example, if you have three separate divisions within your organization (Department A, Department B and Department C), you may choose to allow the users from Department A to edit the analyses associated with their own department (User access) but only view the analyses associated with other departments (View access).

Xfmea Portal to Manage Analysis Activities

Available in Xfmea Enterprise only, the personalized system Portal provides quick access to the FMEA / FMECA analysis information that is relevant and important to you. This includes recently opened projects, actions of interest to you and personal and system-wide messages. You can also view and edit the contact information associated with your personal user account.

Instant Access to Recently Used Projects

Your portal displays the last five projects that you have opened. Simply double-click the project to open it and continue your work. 

Instant Access to the Action Records of Interest to You

Your portal provides instant access (via double-click) to action records from any project that may be of interest to you. You can automatically sort actions by number, description or due date. In addition, you control which actions are displayed at any given time: All my actions, Assigned to me, Created by me, Monitored by me or To be reviewed by me.  

Personal and System-Wide Messages

To help keep yourself, the project team and/or the entire organization up-to-date on the progress of the analysis, important deadlines and other information, your portal displays personal messages (that are visible only to you) and global system-wide messages (that are available to all system users).
